Subject: Question about status of Observation 030580
To: xmmhelp@sciops.esa.int
Dear Helpdesk,

Could you please clarify for me the status of two of the targets
in my accepted proposal 030580?

I have yet to receive any data for the targets MZ 3541 and MZ 5293.
According to the XMM-Newton Observation & Data Processing Status database
both of these were observed late last year, but there is an error code
listed under PPS Status, and the data are not in the XMM archive.

Were these observations taken? Is there a problem with them?
If so, what will happen now? This is part of a sample, and we are
very keen to get the data.

Thanks,

                          Trevor Ponman

Dear Dr. Ponman,

MZ 3541
rev.1091 ObsID: 0305800201
Although ODFs were (re)generated already three times
and can be obtained from the XSA, it was NOT yet
possible to generate PSS products.

MZ 5293
rev.1102 ObsID: 0305800701
Although ODFs were (re)generated already three times
and can be obtained from the XSA, it was NOT yet
possible to generate PSS products.

I have requested more information from the data
processing team.

With best regards,

Dear Michael,

I tried looking for files from these two pointings in the archive,
but drew a blank - are you sure they are in there? Also, for these
two datasets (unlike the others from this proposal) I never received
any notification that the data were available for collection.

Thanks for your help,

                        Trevor Ponman

Dear Trevor,

Yes, there are ODFs in the XSA for observations
0305800201 and 0305800701 !

Don't forget to specify
"Observations Status: Any"
which is set by default to
"Observations Status: Only Processed Observations"
which will result in an empty list.

It is correct, that you never received a notification
about the data being ready to be retrieved from XSA
because unless all PPS could be produced we do NOT
consider the data being ready for retrieval.

However, you can already start working with your
ODFs using SAS.

Dear Michel,

Thanks for looking into this. I am downloading the ODFs
now, and we will take a look at them, and get back to you if there
is a problem with them. Is it possible for you to find out
why the pipeline failed on these files? There seem to be three, in
fact: 0305800201, 0305800701 and 0305800801.

I'm a bit troubled about what has happened here. If one of
my co-is had not spotted the existence of these observations
via the HEASARC site, then I would still be unaware of their
existence. Is this a problem with your system, or is it just
that something fell through the cracks in this particular
instance (or rather two instances)?

Not only was I never notified of the availability of the ODFs,
but I see that in the archive the name of these targets has been
set to "NO PPS PRODUCTS", rather than the MZ* name as it should be,
so that a search by name fails. As a result, I had almost convinced
myself that these data had not really been taken, and contacted
you to confirm this. So, it comes as a bit of a shock to discover
that they have been potentially available for 6 months. It may
be that you need to change some procedures to avoid this problem
for the future.

I asssume that these data will not go public for a year from now?

Thanks for your help,

                         Trevor
